Event registration tools compared

A registration tool takes a sign-up, tells the person they're in, and gives you a list you can check in at the door. Some are a whole event platform, and one is a form. Here's what each includes and what it costs to get past its free limit.

Facts read from each vendor's own pages on November 1, 2026. RSVPlinks is one of the products compared.

A cross means the vendor says it doesn't offer it, or for RSVPlinks that we don't. “Not found” means we looked through its public pricing and help pages and saw nothing either way. It may still exist. A number links to the source.

Where RSVPlinks does well

  • One tap to register, in the wording you pick, on a page that looks like your event.
  • Approval, QR tickets, door check-in and a password, free on every event.
  • Free for a small event, one payment for a big one, and no monthly bill.
  • Registration, RSVP, tickets and approval are one setting, so an event can change without a rebuild.

Where RSVPlinks falls short

  • The free plan stops at 20 replies per event and 5 events, a much lower limit than several free plans below.
  • No name badges and no conference tools such as agendas or exhibitor lead capture.
  • No public API or Zapier connection.
  • No text messages: reminders and blasts go by email, so you can't reach a guest by SMS from here.
  • Paid events only for waitlists and capacity limits.

Questions

What is the best free event registration tool?
For the most guests at no cost, Luma's free plan has no limit on events or guests. Eventbrite is also free to publish. RSVPlinks is free up to 20 registrations per event, with approval and check-in included, and then a one-time $7–$39.
Can I use Google Forms for event registration?
Yes, and it suits a simple sign-up: its help pages show how to cap responses, and answers go to Sheets. Its product page describes no event page, tickets or check-in, so those need another tool.
Which registration tools let me approve each person?
Luma and RSVPlinks both include approval on their free plans. On Luma, a paid event's card is held and charged only on approval. On RSVPlinks, an approved guest pays through a private link.
